RATE OF PAY:          $17.71 – $23.53 PER HOUR

INTRODUCTION:

The receptionist will be the initial contact between the customers and the Tribal 477/TANF Program.  Greets customers and treat them with respect and dignity and maintain all confidential standards.

MAJOR DUTIES AND RESPONSIBILITIES:

  • Expected to exercise mature judgment, initiative and resourcefulness in carrying out the responsibilities and duties of this position and will report to designated workstation at scheduled work hours;
  • Confidentiality and/or Privacy Act will be adhered to at all times;
  • Greet, direct and inform effectively and professionally with those who contact or utilize STOI Tribal 477 program services;
  • Identify and handle stressful situations and be sensitive to customer’s issues and concerns;
  • Acquire knowledge of all STOI Tribal 477 programs and work hours for informational purposes for the customers;
  • Refrain from all office gossip and the spreading of rumors;
  • The receptionist will use proper telephone techniques to ensure the customer’s needs are met; accurate and legible messages are taken and delivered in a timely fashion;
  • Provide staff with necessary forms, timesheets leave, reimbursement, travel authorization, fax cover sheets, maintenance work orders and other documents;
  • Maintain office supplies and security of those items;
  • Keep a sufficient supply of forms for staff and customers; maintain forms for staff sign in, customers sign in, appointments, walk ins, and in coming phone calls;
  • Keep updated on software to implement data, calendars, signs and other forms necessary for staff;
  • Maintain customer’s life files, storage, confidentiality and security;
  • Outgoing mail will be stamped and ready for pick up in a timely fashion; incoming mail will be stamped according to date, distributed to staff mailboxes daily;
  • Know and follow the procedures for emergency evacuation for fire, bomb threats or any other life-threatening situations;
  • Prioritize workload accordingly and perform work related duties on a timely basis

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

  • Basic office procedures and practices;
  • Other community programs providing financial and health services;
  • Knowledge of culture and traditions of Native American Indians;
  • Ability to practice tact, courtesy and discretion;
  • Ability to convey interest and concern to callers requesting information or assistance with problems related to the various programs;
  • Ability to speak clearly and informatively;
  • Utilizing different computer software and networking;
  • Establishing a positive channel of communicating among co-workers, Tribal staff, public and private involved in serving the customer;
  • Utilizing multi-line phone system

MINIMUM REQUIREMENTS:

  • High School Diploma or equivalent
  • Federal background check is required
  • Customer service experience preferred
  • 1 year related experience or training
  • WA State Drivers License
