TITLE: INVENTORY SPECIALIST

STATUS: REGULAR, FULL-TIME, NON EXEMPT
RATE OF PAY: $18.34 – $20.14 / PER HOUR

INTRODUCTION:
The Inventory Specialist performs data entry of tribal assets daily, annual inventory certifications. Bi-annual physical inventories, tagging tribal property, keeping up to date filing systems and inventory files. Tracking of surplus and excess property. Performing annual inventory, and other duties as assigned as they pertain to the Property and Purchasing Department.

MAJOR DUTIES AND RESPONSIBLITIES:
• DATA ENTRY: Tag and track all new items and tag if necessary and according to federal regulations and or all required federal, state, or funding agencies regulations. Enter data daily, process reports on a quarterly basis.
• ANNUAL INVENTORY: Process all paperwork and collect all required documentation of all departments for each annual inventory, compile, compare and edit all necessary documentation for annual inventory, submit report to supervisor after each annual inventory.
• BI-ANNUAL INVENTORY: Schedule and complete actual physical inventories for each tribal department. Compile, compare, and edit all necessary documentation for each physical inventory, submit report to supervisor after each physical inventory.
• DISPOSALS: Track and document disposals for end-of-year reporting.
• TAG & TRACK PROPERTY: Keep department inventory files for new, used and excess property coming into department costs, pictures, sales, lost, stolen, traded or transferred documentation must be included in each departmental file. Referencing Purchase Order log for purchases of inventory needing to be tagged.
• SHIPPING AND RECEIVING: Accept incoming parcels from UPS, FedEx, assist city parcels when needed, and ensure each department receives all packages when required. Keep receiving the dock orderly, clean and safe.
• EXCESS PROPERTY: Notifying departments of excess property available, motoring what is current and available in excess areas. Communicate with contracts and grants to complete all proper paperwork necessary to comply with all federal, state, and funding agency requirements.
• SURPLUS PROPERTY: Compile and finalize all proper documentation to surplus items no longer needed by the Spokane Tribe according to all federal, state, and funding agency requirements.
• CELL PHONE ORDERING: Assist and track cell phone ordering. Gathering signatures for cell phone device and usage agreement. Maintain a file for all current agreements and cell phone devices.

KNOWLEDGE AND SKILLS REQUIRED FOR POSITION:
• Basic understanding of Federal Regulations related to procurement and property management functions
• Must demonstrate the ability to express ideas clearly and concisely in written and oral form
• Must be able to keep strict confidential information
• Knowledge of basic accounting desired
• Must be able to compute moderate mathematical functions
• Must have excellent interpersonal and negotiation skills
• Must have the ability to communicate effectively both verbally and in writing.
• Must have the ability to work under pressure, prioritize job duties, meet deadlines and be highly motivated
• Must have the ability to establish and maintain effective working relationships with vendors, general,
public, tribal programs, administrators and other local agencies
• Must possess excellent customer (internal and external) service, telephone etiquette, and vendor relations.

MINIMUM REQUIREMENTS:
• Must possess a high school diploma or GED
• Ability to read and understand CFR, PL 638, and funding agency regulations
• Must have a valid Washington State Driver’s license and good driving record for insurance
• Must have experience working with computer software such as Microsoft, and Excel
• Must have data entry experience

PREFERRED REQUISITES:
• Preferred Associate of Arts degree with a minimum of 2 accounting courses from an accredited college
• Preferred 2 years of office experience
• Experience in the federal or state fixed asset field
• Experience in logistics
